Our lawful bases are performance of our contract and our legitimate interest in coordinating effectively with the people responsible for the event.

Photographs, videos, testimonials and promotional content
We may use approved photographs, videos, testimonials and wedding information to demonstrate our work and promote JAM Duo.
Depending on the material and circumstances, our lawful basis may be:
- your consent;

More information appears in section 9.
6. Information Needed to Provide the Service
You are not generally under a legal obligation to provide personal information to us.
However, certain information is necessary for us to:
- respond to an enquiry;
- issue an accurate quotation;
- enter into a booking;

- provide the agreed service safely and effectively.
Where required information is not supplied, we may be unable to accept or fulfil the booking.
You do not need to provide information that is unrelated to the enquiry or booking.
7. Sensitive Personal Information
We do not normally need to collect sensitive or special-category personal information.
In some circumstances, you may voluntarily tell us about matters such as:
- disability or accessibility requirements;
- health information relevant to event planning;
- religious or ceremonial arrangements; or
- dietary requirements where refreshments are being provided.
We will only use such information where it is genuinely relevant to planning or providing the service and where data protection law permits us to do so.
Please do not provide sensitive information about another person unless it is necessary and you have an appropriate reason or permission to do so.
We do not seek to collect information about political opinions, trade-union membership, genetics, biometrics, sexual orientation or criminal convictions.

We may contact you about:
- your enquiry;
- your quotation;
- your booking;
- information required for the performance;
- outstanding payments;
- important changes affecting the service; or
- a review or testimonial following the event.
These are service-related communications rather than general marketing.

We do not sell, rent or trade personal information to third parties for their marketing purposes.
9. Wedding Photographs, Videos, Testimonials and Blogs

Material relating directly to a couple or client
Where material focuses on an identifiable couple or client, we will normally seek permission before using it as a prominent part of our website, portfolio, blog or social-media content.
Permission may be given through:

We will not publish private contact details, payment information, confidential correspondence or sensitive personal information.
Guests and other people appearing incidentally
Photographs and video of a live event may incidentally include guests, venue staff or other suppliers in the background.
We may rely on our legitimate interest in showing JAM Duo performing in a genuine event setting, provided that the use is reasonable, proportionate and not unduly intrusive.
We will take particular care with:
- close-up images of guests;
- children;
- people in private or sensitive situations; and
- material that a person would not reasonably expect to be published.
Where practical, you should tell us before the event if there is a particular privacy concern or if someone must not appear in promotional material.
Removing material
You may ask us to stop using or remove identifiable material relating to you from channels under our control.
Where our use is based on consent, you may withdraw that consent at any time. Withdrawal does not affect use that took place before consent was withdrawn.
We will consider all removal requests reasonably and in accordance with applicable law. We may not be able to remove:
- material lawfully published by an independent third party;
- material already printed or distributed;
- cached or archived copies outside our control; or

Service providers acting on our behalf are expected to use personal information only for the services they provide and to protect it appropriately.
A venue or other independent wedding supplier may be a separate data controller responsible for its own use of personal information.
11. Third-Party Websites, Social Media and Messaging Services
Our website may contain links to, or embedded content from, other services such as:
- YouTube;
- music and audio platforms;
- Instagram;
- Facebook;
- WhatsApp;
- venue websites;
- photographer websites; and
- other wedding or event suppliers.
These organisations may collect information when you view embedded content, follow a link or communicate through their service. Their use of personal information is governed by their own privacy policies and cookie controls.
When you contact us through WhatsApp or a social-media platform, the operator of that service will process information associated with your account and communication.
JAM Duo is not responsible for the privacy practices of independent third-party websites or platforms.
12. International Transfers
Some of the technology, website, cloud-storage, messaging and social-media services we use may process information outside the United Kingdom.
Where personal information is transferred internationally, we take reasonable steps to ensure that an appropriate legal safeguard applies. Depending on the destination and provider, this may include:
- UK adequacy regulations;
- an approved international data-transfer agreement;
- the UK Addendum to approved standard contractual clauses; or
- another safeguard permitted by UK data protection law.
Further information about a particular transfer or safeguard can be requested using the contact details in this policy.
13. How Long We Keep Personal Information
We do not keep personal information indefinitely. The period depends on the type of information and why it is held.
As a general guide:
Enquiries that do not become bookings
We will normally retain enquiry correspondence and quotations for up to 12 months after the last meaningful contact.
We may keep a minimal record for longer where necessary to remember that an enquiry was declined, withdrawn or unavailable, or to deal with repeated or inappropriate contact.
Booking and contractual records
Booking confirmations, contracts, invoices, payment records and essential correspondence will normally be retained for up to six years after the end of the relevant financial year or completion of the booking.
This allows us to meet accounting obligations and respond to contractual, insurance or legal matters.
Client information forms and event-planning details
Operational wedding and event details will normally be retained for up to 24 months after the event.
Information that also forms part of the contractual, accounting or complaint record may be kept for up to six years.
Information that is no longer necessary may be deleted or reduced to a less detailed record sooner.
Complaints and disputes
Information relating to a complaint, insurance matter, unpaid debt or legal dispute may be retained for up to six years after the matter is resolved, or longer where legal proceedings or another obligation require it.
Photographs, videos, testimonials and published material
Approved promotional material may be retained and used for as long as it remains relevant to the JAM Duo portfolio, subject to:
- the lawful basis on which it is used;
- any agreement made with the client or copyright owner;
- requests to withdraw consent; and
- applicable data protection rights.
Website information
Technical logs, analytics information, cookie records and website security data are retained according to the purpose for which they were collected and the settings of the relevant website service.
Individual cookies may remain on a device for different periods. Further details should be available through the website’s cookie controls.
Backups
Deleted information may remain temporarily in secure backups until those backups are overwritten in accordance with our normal backup cycle.
14. Keeping Personal Information Secure
We take reasonable technical and organisational measures to protect personal information from:
- unauthorised access;
- accidental loss;
- inappropriate disclosure;
- alteration;
- misuse; and
- destruction.
These measures may include:

- software updates;
- access restrictions;
- encrypted connections where appropriate;
- backup arrangements; and
- limiting the information shared with suppliers.
No method of electronic storage or internet transmission is completely secure. We cannot guarantee absolute security, but we will respond appropriately if we become aware of a personal-data breach.
15. Cookies and Similar Technologies
Cookies are small files or identifiers placed on a device when a website is visited.
Our website may use:
Essential cookies
These are necessary for functions such as:
- website security;
- page operation;
- form submission;
- spam prevention;
- remembering privacy choices; and

These cookies do not generally require consent where they are strictly necessary for the service requested.
Non-essential cookies
Subject to your cookie choices, these may be used for:
- website analytics;
- measuring website performance;
- understanding how visitors find and use the site;
- embedded video, audio or social-media content; and
- remembering optional preferences.
Non-essential cookies and similar technologies will be used only where an appropriate legal basis applies, including consent where required.
You can use the website’s cookie controls to accept, reject or manage non-essential cookies. You can also alter your browser settings, although blocking essential cookies may affect how the website operates.
16. Your Data Protection Rights
Depending on the circumstances and lawful basis being used, you may have the right to:
- ask whether we hold personal information about you;
- obtain a copy of your personal information;
- have inaccurate or incomplete information corrected;
- ask for information to be deleted;
- ask us to restrict how information is used;
- object to particular uses of your information;
- receive certain information in a portable format;
- withdraw consent where processing is based on consent; and
- complain about the way your information has been handled.
These rights are not absolute. There may be circumstances in which we are legally entitled or required to retain or continue using information.
We may need to request sufficient information to confirm your identity before responding to a request.
We will not normally charge a fee. A reasonable fee may be permitted where a request is manifestly unfounded, excessive or repetitive, or where additional copies are requested.
To exercise a right, contact us at music@jamduo.com.
17. Your Right to Object
You have the right to object to our use of your personal information where we rely on legitimate interests.
Where you object, we will stop using the information for that purpose unless:
- we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms; or
- the information is needed to establish, exercise or defend a legal claim.
You have an absolute right to object to the use of your personal information for direct marketing.
18. Withdrawing Consent
Where we rely on consent, you may withdraw that consent at any time by contacting us.
Withdrawal of consent will not affect processing that lawfully took place before consent was withdrawn.
Where consent relates to photographs, videos, testimonials or promotional material, we will take reasonable steps to stop future use and remove the material from channels under our control, subject to the limitations explained in section 9.
19. Children’s Information
Our services are not directed at children, and we do not knowingly invite children to submit enquiries or enter into bookings.
Children may occasionally appear incidentally in wedding or event photographs. We will take additional care when deciding whether such material is appropriate for public or promotional use.
We will not normally publish an identifiable close-up image focused on a child unless appropriate permission has been obtained.
20. Automated Decision-Making
We do not use personal information to make decisions based solely on automated processing that produce legal or similarly significant effects.
We do not use automated profiling to decide whether to accept a client or booking.
21. Complaints
Please contact us first if you have a concern about how we have used your personal information. We will try to investigate and resolve the matter.
You also have the right to complain to the Information Commissioner’s Office, the United Kingdom’s data-protection regulator.
Further information about making a complaint is available from the Information Commissioner’s Office website.
22. Changes to This Policy
We may update this policy where:
- our services or business practices change;
- we use a new website or technology provider;
- data protection law or regulatory guidance changes; or
- clarification is required.
The latest version will be published on the JAM Duo website with an updated revision date.
Where a change would materially affect how we use information already collected, we will take reasonable steps to bring that change to the attention of the people concerned before beginning the new use.
